Personnel Plus of Twin Falls is HIRING for a Administrative Assistant/Training Coordinator.

  • Monday- Friday
  • Full time
  • 40 hours a weeks
  • $30,000 plus retirement, health insurance, 18 days of holidays

Duties:

  • Performs work requiring knowledge of the organization or program to verify documents for completeness, accuracy, and to determine compliance with department procedures 
  • Maintains efficient and organized electronic and paper filing systems; includes creating, classifying, sorting, filing, and retrieving documents 
  • Schedules, confirms, and cancels appointments, meetings and travel arrangements for the team  
  • Schedules and attends other events/trainings as assigned; prepares and distributes meeting minutes and other necessary materials; assists in the planning of special events either onsite, off-site or virtual platform; schedules and reserves room use; arranges catering needs with food service and tracks attendance and participation. 
  • Handles complaints and problems courteously and effectively 
  • Handles routine inquiries and directs individuals to appropriate resources; takes clear and concise messages 
  • Compiles data and reports using internal customer relationship management system 
  • Receives and routes daily incoming and outgoing mail 
  • Maintains, inventories, orders and purchases office supplies and equipment as authorized 
  • Performs additional related duties as assigned by immediate supervisor  

Possible additional duties

  • May be required to report, prioritize, and collaborate the Center’s activities and other departments or business entities 
  • Assists in developing marketing and promotional materials 
  • Small Business experience 
  • Maintains paper and electronic record keeping systems, as budget reports  
  • Knowledge and ability to apply business functions and principles 
  • Supervises work-study students by assigning work, prioritizing tasks, and ensuring task completion 
  • Liaison to various internal departments and external partners 

Requirements

  • Always maintain a wholly professional behavior and attitude towards confidential matters and documents 
  • Able to comply to the Idaho SBDC Conflict of Interest agreement 
  • Organization skills to work within prioritize needs 
  • Excellent interpersonal communication and public relations skills to meet people courteously and to work with all ages and socioeconomic groups 
  • A strong service orientation or desire to meet people’s needs, handle challenging situations and provide customer service and promote teamwork within the department, the college and communities. 
  • Good judgment and professionalism in dealing with pressures and meeting deadlines 
  • Ability to listen, learn, address details, follow directions with thoroughness and accuracy, willingness to ask questions, and communicate effectively verbally, in writing, and in-person  
  • Self-motivated to take assignments and carry them through from initial stages to completion 
  • Ability to evolve with changing technology, software, and electronic data handling 
  • Maintains a professional atmosphere in the work area 
  • Flexibility and a willingness to attend and receive additional training to improve skills 
  • Has respect for the opinions of others and behaves in such a way as to ensure an atmosphere of respect and trust 

Technical Skills Requirements:

  • Demonstrated ability in business communications, including proper business English usage, composition, punctuation, and spelling 
  • Proficiency in appropriate computer software including Microsoft Office tools including, but not limited to: Outlook e-mail and calendar, Word, PowerPoint, and Excel  
  • Telephone etiquette skills, virtual platforms, printer/copier, and other related office systems 
  • Experience using basic math skills 
  • Some knowledge or experience in supervision 
  • Some knowledge of budget processes

Education/Training Requirements

  •  High School Diploma or GED
  • must have office support knowledge
  • Preferred to have an Associates Degree
